A Leading Global Oil and Gas CompanyThe Office Manager will deliver an end to end service in the JAFZA Office. Utilising a global framework of policies and procedures, you will provide day to day support to ensure our workplaces are safe, secure and productive for employees and visitors alike. In conjunction with the daily management of the facility, you will work with other internal departments to deliver projects such as office refurbishments and relocations.

Day to day Management of JAFZA site offices to meet best practice and company policy including external supplied staff. Assist in the integration of facility initiatives and ensure facility resources align with and meet business needs Maintain common facilities standards, initiatives and processes Assist in implementing improvement efforts to enhance facilities operations and reduce operating costs Maintain key metrics that drive the effectiveness of facility activities. Feasibility studies into waste minimization and pollution prevention programs within your buildings. Manage assigned buildings to ensure facilities are operational and fully maintained. Liaise with building managers/landlords to address maintenance issues under their scope. Manage contract acquisition/review/negotiation/vendor selection and preparation of related subcontract/purchase order agreements to provide for quality facility services at a competitive cost. Manage facility vendors to ensure contract requirements are met and they are delivering to standard. Ensure all contractors meet HSE requirements of the Contractor Management Procedure. Maintain Vendor Contact List to ensure expeditious reporting of facility/office service problem and compliance with contractual obligations. Administer facility security systems by timely changes of access codes, and maintenance of access/egress systems and records. Manage refurbishments, moves and changes and relocations under US$1M. Manage new facility site setups in conjunction with the business unit. Prepare annual operating budget for each location and manage monthly facility costs against budget. Develop, maintain, and implement facility operational plans to ensure on-going furniture and facility compliance with safety, security and asset management principles. Maintain current floor plans and space allocations. Maintain Emergency Contact List to ensure appropriate communication linkages are available. Management of after hours and emergency service requirements associated with assigned facilities. Actively participate in HSE activities for facilities under job scope. Liaison with local Dubai offices to understand spend and facilities activities and supplier base. Manage Reception and Office boy activity to meet good practice and maintain Corporate Customer image.

- Strong customer service ethic - Excellent written and interpersonal communication skills in English - Ability to communicate to all levels of the organization - Project management and organizational skills - Motivated and team player whilst capable of being self-directed, with good influencing skills - Must have ability to meet change in a positive manner. - Ability to simplify and articulate and drive ideas and issues to senior management.Experience
